The tasks calendar
The calendar view puts every task on the day it is due. It is the quickest way to see what is coming up, what has slipped and which days are full.
This page covers opening the calendar, the month and week layouts, tasks with no date, and the calendar settings.
Opening the calendar
- Click Tasks in the sidebar
- Click Calendar in the view switch at the top of the page
To open the Tasks page on the calendar every time, go to Settings > Tasks and set Default view to Calendar.
The search bar at the top and the filters in the page header narrow the calendar, just as they narrow a list. For example, type # and a topic and press Enter to see one stream of work, or add Filter > Waiting on > Me.
Month and week
Use the Month and Week switch at the top right to change layout.
| Layout | What it shows |
|---|---|
| Month | The whole month in a grid, with a few tasks in each day |
| Week | Seven days side by side (five if weekends are hidden), with every task |
Use the arrows to move to the previous or next month or week, and Today to come back. Today’s date is highlighted.
When a day is full
In the month layout each day shows a set number of tasks. When there are more, the day ends with a link such as +3 more. Click it to open that week in the week layout, where every task shows.
Choose how many tasks a day shows, from 2 to 6, in Settings > Tasks > Tasks per day in month view.
What a task looks like
Each task shows as a small chip with its title, and its due time first if it has one. On a day, tasks with a time come first, earliest first.
| Task | How it shows |
|---|---|
| Late (its day is over and it is not done) | Red, with a warning mark |
| Done | Faded and struck through |
| Anything else | Plain |
Click a task to open it in the detail panel, where you can change its due date, status or anything else.
Colouring tasks
Settings > Tasks > Colour tasks by adds a coloured edge to each task:
| Choice | Edge colour |
|---|---|
| None | No edge |
| Status | The colour of its status |
| Topic | A colour for its first topic, the same for that topic every time |
Late tasks always show red, whichever you choose.
Tasks without a due date
Tasks with no due date cannot sit on a day. When there are any, a button above the calendar says how many, such as “4 tasks without a due date”. Click it to list them, and click one to open it and give it a date. Click the button again to close the list.
Weekends
When Show weekends is off, the calendar shows Monday to Friday. Any tasks due on a weekend in view are listed from a button above the calendar, such as “2 weekend tasks”.
On a phone
On a narrow screen, the month layout shows a dot and a count on each day with tasks, red if any of them are late. Tap a day to list its tasks under the grid. It starts on today.
Calendar settings
All in Settings > Tasks, under Calendar:
| Setting | What it does |
|---|---|
| Week starts on | Monday or Sunday, for the first column of the month and the week |
| Default layout | Month or week, the layout the calendar opens on. The switch still changes it while you are on the page |
| Tasks per day in month view | How many tasks show in each day before the rest fold into “+N more” |
| Colour tasks by | None, status or topic |
| Show weekends | When off, shows Monday to Friday and lists weekend tasks from a button |
| Show done tasks | When off, done tasks are left out of the calendar |
A task counts as done when its status counts as done in its workflow. See Statuses and workflows.
Tips
- Give every task with a deadline a due date, so it shows here and in reminders.
- Add a time for meetings and calls. Timed tasks sort to the top of their day.
- Check the “without a due date” list now and then, and date what matters.
- Turn off Show done tasks if finished work clutters the month.
