Due dates, waiting on and links

Beyond its status, a task has three fields that help you plan: when it is due, who it is waiting on, and links to the pages it needs. You set them all in the detail panel.

Due and Waiting on belong to tasks. Links works on every entry.

Due dates

Adding a due date

  1. Click a task to open the detail panel
  2. Next to Due, click Add a due date
  3. Pick a day from the date picker

The due date shows on the task’s row, its board card and the calendar.

Changing or removing a due date

Click the date and pick another day. To remove it, clear the date in the picker. Removing the date removes its time as well.

How due dates look

WhenHow it shows
Due todayGreen, and “Today” on board cards
Late (the day is over and the task is not done)Red
Any other dayPlain

A task only becomes late once its day is over, in your own time zone. A task in a status that counts as done is never late, whatever its date.

On the Pro plan, the board can also colour card borders by how late a task is. See The kanban board.

Due times

A task can be due at a time on its day, such as a call at 14:30.

  1. Set a due date first, because the time belongs to it
  2. Click Add a time beside the date
  3. Type or pick the time, then press Enter or click away

The time shows after the date on rows, board cards and the calendar, for example “20 Oct, 14:30”. On a day, tasks with a time come first, earliest first, and tasks with no time follow, because they are due by the end of the day.

To remove the time, clear the time field. Times are in your own local time, and a task with a time is still only late once its day is over.

Waiting on

Waiting on says who has to act next: you, one other person, or nobody. Use it for hand-offs, such as a document out for review.

Setting it

  1. Open the task in the detail panel
  2. Click Not waiting next to Waiting on
  3. Pick Me, pick a person, or type a name

If the name you type is not in your people list yet, choose Add and the name. It joins your people list, so it is offered next time.

The detail panel shows Me when the task is waiting on you. Rows and board cards show “You”.

Clearing it

Open the menu and choose Not waiting on anyone.

Seeing what is waiting

To seeDo this
Everything waiting on youFilter > Waiting on > Me
Everything waiting on one personFilter > Waiting on, then pick their name
Tasks waiting on nobodyFilter > Waiting on > Nobody

On the Tasks page in the table view, the Waiting on column sorts tasks waiting on you first.

When you rename or merge people on the People page, tasks waiting on them follow the new name.

Any entry can keep links to web pages, such as the live post for a content task or the shared document for a review. They show in the Links row of the detail panel and open in a new tab.

  1. Open the entry in the detail panel
  2. Click + next to Links
  3. Paste the address
  4. Add a label if you want one, such as “Live post”
  5. Click Add link

A link with a label shows the label. One without shows the address.

An entry can have up to 20 links, and a label can be up to 100 characters. Point at a link and click its x to remove it.

Links are web pages. Entries linked to this one, by the AI or by an @ mention in a comment, are listed under Relationships instead.

Filters for due dates

FilterWhat it shows
Due > OverdueTasks that are late and not done (Pro)
Due > This weekTasks due this week
Due > No due dateTasks with no due date

Click Filter in the page header to add one. Each filter shows as a chip you can remove.

Seeing due dates at a glance

  • The Calendar view on the Tasks page puts every task on its due day. See The tasks calendar.
  • The Sort cards by due date button on the board orders each column with overdue tasks first, then upcoming, then those with no date.
  • The desktop app can remind you about tasks due today or overdue, at times you choose. See Task reminders.

From scripts and AI assistants

On the Pro plan, the API and the MCP server can set the due date (YYYY-MM-DD), the due time (HH:MM), waiting on (me or one name) and links. Sending null clears a field.
