Account settings

Ultrathink gives you full control over your profile, organisation membership, navigation layout, and billing. All of these options live under Settings, which you can reach from the navigation or the gear icon at the bottom of the navigation panel.

This page covers each section of the account settings so you can personalise Ultrathink to match how you work.

Profile tab

The Profile tab is where you manage your identity and contact information.

Appearance and themes

Ultrathink lets you customise the visual experience to suit your preferences, screen size, and working environment. You can change the colour theme, adjust font size, control layout density, and fine-tune how the entries grid is displayed.

All appearance settings are found under Settings > Appearance and Settings > Display.

Theme options

The theme controls the overall colour scheme of the application.

Theme	Description
Light	White background with dark text; best for well-lit environments
Dark	Dark background with light text; reduces eye strain in low light
Auto	Follows your operating system’s preference; switches automatically when your system toggles between light and dark mode

Changing the theme

Open Settings > Appearance.
Under Theme, select Light, Dark, or Auto.
The change applies immediately across all views.

The Auto option is useful if your operating system switches themes based on the time of day. Ultrathink detects the change and updates without requiring a page reload.

Notification preferences

Ultrathink can notify you about important events such as completed AI processing, sync issues, and system updates. You control which notifications you receive and where they appear.

All notification settings are managed from Settings > Notifications.

Types of notifications

Ultrathink sends notifications for the following events:

Notification type	When it fires
AI processing complete	An entry’s AI analysis (summary, classification, relationship detection) has finished
Sync status	A sync operation completes or encounters an issue across your devices
Errors	Something goes wrong during capture, processing, or saving
System updates	New features, maintenance windows, or important announcements from the Ultrathink team

AI processing complete

When you capture an entry, Ultrathink processes it in the background. Depending on the entry type (link, PDF, screenshot, AI conversation), processing can take a few seconds to a couple of minutes. This notification lets you know the entry is ready to review with its full summary, topics, and related entries.

Data export

Data export

Ultrathink lets you export a complete copy of your data at any time. This is useful for creating backups, migrating to another tool, or simply having an offline record of everything you have captured.

Exporting your data

The export function is available from the Profile tab in Settings.

How to export

Open Settings > Profile.
Scroll to the Data section.
Click Export Data.
A download begins automatically. The file is saved to your browser’s default download location.

The export runs in the background and may take a few seconds depending on the size of your knowledge base. For accounts with thousands of entries, it can take up to a minute.
