Appearance, navigation and notifications

Three Settings pages in the Basic settings group change how Ultrathink looks and where things are: Appearance, Navigation and Notifications.

Appearance

Settings > Appearance sets the theme, the size of the text and how much space things take up. Changes apply straight away across the whole app.

Display

SettingChoicesWhat it does
ThemeLight, Dark, SystemSystem follows your computer’s light or dark setting, and switches when your computer does.
Text sizeExtra small (85%), Small (92%), Medium (100%), Large (107%), Extra large (115%)Scales the text across Ultrathink, including the sidebar, your entries pages and the detail panel. Medium is the default.
DensityCompact: fits more on screen, Comfortable (default), Spacious: more breathing roomRow heights and spacing in the lists, the sidebar and the detail panel.

You can also change density for the page you are on from its Display menu.

Show theme toggle in header adds a light and dark switch to the top bar, so you can change theme without opening Settings. It is off until you turn it on.

Interface

These switches change small things about how Ultrathink moves and responds. Each one is labelled for what it does when it is on.

SwitchWhat it does when onOn at first?
Show the AI at work on new entriesA new entry shows its title, summary and topics being written in the list as the AI works.Yes
Light up similar entries on hoverPointing at an entry keeps its similar and related entries lit and dims the rest.No
Glide titles into the panelOpening an entry slides its title up into the detail panel heading.Yes
Use J and K to move between entriesJ opens the next entry in the list, table or board, K the previous one.Yes
Hold the capture button to recordPress and hold the New button to record a voice note, and let go to save it.Yes
Show the capture buttonThe orange New button at the top of the entries pages.Yes

If you hide the capture button, pressing N or dropping something on the window still opens quick capture. Dropping a file, a link or some text anywhere on the window always captures it: there is no switch for that.

See Capture in the web app and Keyboard shortcuts.

Settings > Navigation sets where Ultrathink opens and what the sidebar shows.

Startup page

Startup page is the page Ultrathink opens on. Home in the sidebar goes there too, and so does Back to Ultrathink in Settings.

You can choose:

  • All items
  • Work plan
  • your projects page (Projects unless you have renamed it)
  • your tasks page (Tasks unless you have renamed it)
  • your knowledge page (Knowledge unless you have renamed it)
  • Topics
  • People

All items is the default.

The sidebar

The Sidebar group shows your sidebar as a list of sections, each with its pages. A new account starts with:

SectionPages
MainHome, Work plan, Search
OrganiseProjects, Tasks, Knowledge, All items
Recent projectsYour most recently changed projects
ManagePeople, Topics, Settings

People and Topics start hidden. Turn them on here if you want them in the sidebar.

For each page you can:

  • Move it. Drag it by its handle, within a section or into another one.
  • Show or hide it. Click the eye: Hide from sidebar or Show in sidebar.
  • Show or hide its count. Pages that count entries, such as Tasks, have a badge with the number. Click Hide count badge or Show count badge.
  • Remove it from a section. Click Remove from section.

For each section you can:

  • Move it by dragging its handle.
  • Rename it with Rename section, then Save name.
  • Add a page to it with Add an item.
  • Delete it with Delete section. Its pages are not lost: you can add them to another section.

Click Add section at the foot of the list to make a new section, called New section until you rename it. Reset to defaults puts the sidebar back as it was when you started.

Pages for Pro features, such as Work plan and Search, stay in the sidebar on the Free plan. Opening one shows what the feature does and how to upgrade.

Recent

The Recent section lists entries rather than pages. You can move it and hide it like any other section. In its row, choose what it lists:

ChoiceWhat Recent shows
Recent projectsYour most recently changed projects
Recent of each typeThe newest of each kind of entry
Everything in one list, newest firstEvery kind of entry in one list

Then choose How many: 3, 5 or 8. You can make the same choice from the menu next to Recent in the sidebar.

Renaming Projects, Tasks and Knowledge

The names of the Projects, Tasks and Knowledge pages come from your entity labels. Change them in Settings > Entities (Pro). See Entities, content types and grid.

Notifications

Settings > Notifications is where you set task reminders. Reminders come from the Ultrathink desktop app: it can remind you of tasks that are due today or overdue, at times you choose, with quiet hours and weekends off if you want them.

Reminders are off until you switch on Remind me about my tasks.

See Task reminders for every setting on this page.
