AI search, work plan and relationships
The Advanced group of Settings has three pages: Work plan, AI search and Relationships. Most people never need to change them, but they are there if you want more control.
Work plan and AI search are Pro features, so their pages only show in the Settings list on the Pro plan or a Pro trial. Relationships shows for everyone.
Changes save automatically. A text box saves when you click away from it.
AI search (Pro)
Settings > AI search sets how AI search answers the questions you ask. You ask AI search by typing a question in the search bar at the top and pressing Enter. See AI search.
Entry limit
Entry limit is the most entries AI search reads for one question, from 50 to 5,000. The default is 500.
AI search reads your newest entries, up to this limit, and answers from them. Entries older than the limit are not read for that question.
| If you want | Try |
|---|---|
| Answers that reach further back | A higher limit |
| Quicker answers about recent work | A lower limit |
Entries shared with your organisation are read as well, up to 40% of your limit on top.
Once you change the limit, it shows Customised, and a Reset button puts back the default.
Search prompt
Search prompt is the set of instructions AI search follows when it answers. It can use three placeholders, which Ultrathink fills in for each question:
| Placeholder | What it becomes |
|---|---|
| {entries} | The entries AI search read |
| {query} | Your question |
| {today} | Today’s date |
Your version replaces the default prompt completely. Reset puts the default back.
Work plan (Pro)
Settings > Work plan sets how cards look on the work plan. See The work plan for what the work plan is.
| Setting | What it does |
|---|---|
| Show entity badge on cards | Shows the Project, Task or Knowledge badge on each card. On at first. |
| Use entity colours for cards | Colours each card by its entity, using the colours set in Settings > Entities. On at first. A colour you pick for one card from its menu still wins. |
The work plan is being rebuilt. Other options on this page do not change the work plan at the moment, so they are not covered here.
Relationships
Settings > Relationships holds the prompts the AI uses to find and link related entries. The links show in the Relationships section of the detail panel, in two groups: Similar and Linked.
| Prompt | What it does |
|---|---|
| Relationship extraction prompt | Reads an entry’s notes for mentions of other things you have saved, such as “follow up on the Acme proposal”. It runs on any entry whose notes are at least 10 characters long. |
| Relationship resolution prompt | When a mention is found, picks the entry it most likely means. |
| Content similarity prompt | Finds entries that are similar to a new entry. |
Under each prompt, a line says which AI model it uses and the placeholders it can use. Keep the placeholders a prompt needs.
As with every prompt in Settings, your version replaces the default completely. It then shows Customised, and Reset puts the default back.
When to change these
You rarely need to. Two cases where it can help:
- Too many weak links. Tell the similarity prompt to keep only close matches.
- Missed mentions. If you refer to projects by a code or a nickname, say so in the extraction prompt.
Change one prompt at a time, then save a new entry to see what it does.
Other AI prompts
Prompts for the rest of the AI’s work are on Settings > Entities (Pro): the classification prompt and a summary prompt for each kind of entry. See Entities, content types and grid.
