People
People are the names on your entries: a colleague in a meeting note, the author of a post, the person a task is waiting on. Like topics, an entry can have several people, and a person can be on many entries.
This page covers how people get onto entries, the People page, and how to keep the list tidy.
How people get onto entries
There are three ways:
- The AI adds them. When it files a new entry, the AI picks out the people the entry is about or mentions, and matches them to names already in your people list where it can.
- You add them. In the detail panel, click the + at the end of the People row, then pick a name or type a new one and press Enter. A new name joins your people list.
- Waiting on. Choosing a new name in a task’s Waiting on field adds that name to your people list too. See Due dates, waiting on and links.
To take a person off an entry, point at their chip in the detail panel and click the x.
Click a person’s chip to see every entry with them. It opens All items filtered by that person.
Finding everything about someone
There are two quick ways:
- Click their name on the People page.
- Type
@and their name in the search bar at the top of any page, then press Enter. The name becomes a filter on the page.
You can also add Person from Filter in the page header, and pick more than one name. See Search and filters.
The People page
Open People from the sidebar. New accounts have it hidden: to show it, go to Settings > Navigation and click the eye icon next to People (Show in sidebar).
The page lists your people with:
- a round badge with their initials
- how many entries they are on
- when they were last used
Use the display options button at the top to order the list by Name, Entries or Last used.
Adding a person
- Click Add person
- Type the name
- Click Add, or press Enter
Adding people you work with often helps the AI, because it matches names on new entries to your list.
Renaming a person
- Click the … button on the person’s row
- Click Rename
- Type the new name and press Enter
Every entry with the old name gets the new one, and so does any task waiting on them.
Merging people
Use merge when the same person is in the list twice, such as “Sam Lee” and “Samuel Lee”.
- Click the … button on one of them, then Merge
- Tick the other names to merge with it
- Click Merge at the foot of the list
- Pick the name to keep, then click Merge
Every entry that used any of the names gets the one you keep. Tasks waiting on a merged name follow it too.
Deleting a person
- Click the … button on the person’s row
- Click Delete
- Confirm
Deleting a person removes them from your people list only. It does not delete any entries, and it does not take their name off entries that already have it.
People and profiles
When you save a LinkedIn, X or GitHub profile with the browser extension, the entry becomes a Profile entry. It keeps the person’s name, title, company, bio and photo, which show in the Profile section of the detail panel. See Entry types.
Tips
- Use one spelling for each person. Full names work best, and they are easy to merge later if two creep in.
- Add the people you work with most. The AI reuses names in your list instead of inventing new spellings.
- Use Waiting on for hand-offs. It shows who has to act next on a task, and the Waiting on filter lists everything waiting on one person.
